Overview
The Calendar System is primarily designed so that you, a member of the South Bay community, can find out about the organizations and events located in your area. Organizations can post their information as well as scheduling online. Thus, we hope to foster an open communication between community members and organizations.

From the homesite you can view information about upcoming activities or begin a search. Use the toolbar, located above in black, to navigate through the site. The navigation toolbar includes the following:

  • Home: return to the home site at any time.
  • About: information about the purpose and development of the Calendar System.
  • Help: get help whenever you need it.
  • Admin: organizations login to your administrative pages here.
  • Personal Calendar: users login to your personal calendars here.
  • Organizations: Search for organization information here.

    Searching for Events

    Home Page
    You can search through the multitudes of events easily using the home page. Search for specific events by entering either the organization's name, event name, or date. An exact name I not needed. A simple keyword will suffice (example: you can use "net" to find "PV on the Net"). You can also find information on all the events by clicking the "See All Events" button.

    Advanced Search
    Use this feature to narrow your search down. You can enter more detailed search criteria such as the city, address, and sponsors. As with searching on the home page, entering an exact name is not necessary. A keyword will work.

    Monthly Calendar
    View an interactive monthly calendar to get an idea of what activities are occurring every month. You can access this calendar from the home page. The calendar for the current month and the activities are automatically displayed when you enter. Activities are ocurring on the days displayed in red. Click these dates to find out which activities are ocurring at that time. You can click on activity titles to view more detailed information about the event.

    Search for Organizations
    To search for organizations, click the "organizations" link at the top on the toolbar. Enter an organization keyword, category, and/or city to find organizations. To find out detailed information about each organization, you can click the "info" button next to each one. You can also find activities they are hosting by clicking on the check buttons next to their names.

    Personal Calendar
    The Personal Calendar is a free system designed to help you keep track of activities on a more personal level. By signing up, you can create a calendar that only displays the events from a list of organizations you create.

    Signing up
    To sign up for the Personal Calendar, Click Here. Type in your email address and a password and click the submit button. If your information is approved, you will be sent instantaneously to your start page, also known as the main page.

    Navigation
    Navigate through the system using the links appearing at the top of the page. You can also logout using the link at the top right. Brief instructions also appear under this link.

    Main
    In this area, you will see a small calendar on the left and a list of events to the right. Upon entering your page, you will be presented with a calendar of the current month a list of events occurring for the remainder of the month. You can view events ocurring on specific days by clicking on the dates in the left. You can also view calendars of different months by selecting the month and year in the menus above the calendar. To view more information about different events, click on the titles of activities.

    Preferences
    Select the organizations you want displayed in this area. On the left, you will be presented with a list of organizations. You can search for organizations by category or name. In this list there are two main items you can choose:

  • Display: Organizations checked under the display category will be displayed in your personal calendar. When none of the organizations are checked, the calendar automatically displays information from all of the activities.
  • Email: The Email Notification allows you to remain updated on the events occurring via email. Each week, you will receive an email from the calendar informing you about the events ocurring in the upcoming two weeks.

    You can also click on the titles of the organizations to display their information to the right.

    Administration
    Organizations, post activity and scheduling information on the web!
    By signing your organization up, you can enable your members as well as the general public to view information about your events.

    Signing Up
    To sign up your organization, simply click here. Type in the information requested. An email will be sent to the Calendar Staff. If your organization is approved, we will give you a confirmation email containing your ID and password.

    Getting Started
    Once you are a confirmed administrator, you can login at the "Administration Section. Once you've logged in, you will arrive at your administrative home page. Use this page to add, update, or delete organization events or Update your organization information.

    Update Organization Information
    You can update any of your organization information by clicking the link at the bottom of your page. In the Updating portion you can update any of the information including your password. The only aspect that cannot be modified is the ID. To save your changes, click the submit button. Changes are immediate so you can change your information at any time.

    Adding Events
    To add events, begin by clicking the "Add Event" link at the bottom of the page. You can either choose to add an event using the generic Add Event Page or add events in a step by step process using the Wizard.

  • Required Information: In adding event, the only information required is your Activity Title as well as the date on which it is occurring. Your Organization Title is automatically inserted.
  • Scheduling Feature: Prevent scheduling conflicts by using this feature to find out the events occurring in a certain time period.
  • Reload - Click the reload to reload the page with the organization information you provided. You can still make changes after you reload the page.

    Updating Event Information
    Click on the title of the event to update and change its information content. Doing so will open a new window. Once the information has been modified and submitted, you can close the window.

    Deleting Events
    Check the event or events you want to delete and click the button located under the list of events.
